Position: Event Planning and On-site Support Coordinator

 

Description:

 The Sino-American Pharmaceutical Professionals Association (SAPA) Event Operation & Logistics Management team is seeking an Event Planning and On-Site Support Coordinator to provide support of pre-event planning and on-site event activities to ensure a smooth operation before and during the event. This position will require collaboration across multiple Internal Stakeholders including IT/Web, Communication, Finance, Fundraising, Membership and Event Integration Project Management.

Responsibilities include, but are not limited to:

  • Assist with pre-event tasks including event planning and preparation, materials pickup, and purchase if applicable.
  • Assist on the event day for set-up, guest assistance and registration, logistics, and clean up, etc. Works closely with internal stakeholders to ensure the event proceeds smoothly and efficiently
  • Coordinate with Venue Event Manager to ensure that the venue layout is appropriate for the type of event being held
  • Coordinate with Internal Stakeholders to find out their needs and keep them up to date on the progress of the planning process for the event
  • Ability to handle any arising issues and troubleshoot any ad-hoc activities on the event day
  • Responsible for other Event Operation & Logistics related activities

Requirements:

  • Eligible candidate must be an active SAPA member
  • Event planning experience strongly preferred
  • Able to multitask and solve problems
  • Outstanding organizational skills and attention to details
  • Able to work independently as well as part of a team
  • Be available to attend the events in-person

Time Commitments:

 Pre-event Commitment:

  • Pre-event work varies by event (approx. 1-3 hours per week for a period of 1 -2 months)

During Event Commitment:

  • Minimum 1 full day commitment
  • Can be divided among multiple volunteers for the duration of the event
